Events & Group Bookings Policy
Crafted Clay welcomes group bookings, birthday celebrations, children’s parties, private functions, corporate events, team-building sessions, school groups, and social gatherings.
This policy exists to protect the studio experience for all guests. Crafted Clay is a working pottery and ceramics studio, not an automatically private party venue. Group bookings must be managed in a way that respects our staff, other patrons, studio space, session times, materials, and creative environment.
By making a group booking, event booking, private function enquiry, or attending as part of a group, you agree to this Events & Group Bookings Policy.
1. Purpose of This Policy
Crafted Clay is designed for guests to enjoy a relaxed, hands-on creative experience. We welcome celebrations and group visits, but these must not negatively affect the experience of other patrons, interfere with studio operations, or create expectations beyond what has been booked and paid for.
A standard booking does not give customers the right to take over the studio, reserve unbooked seating, bring unlimited guests, set up a full party venue, or use more space than has been approved.
This policy sets clear expectations around seating, additional guests, party setups, additional tables, exclusive use, decorations, food, session times, supervision, and behaviour.
2. What Counts as a Group or Event Booking
For the purposes of this policy, a group or event booking may include, but is not limited to:
Crafted Clay may treat any booking as a group or event booking where the nature of the booking creates additional space, staffing, supervision, setup, cleaning, or operational requirements.
3. Studio Capacity & Seating
Crafted Clay has limited seating and table capacity across its studio spaces. Seating is reserved for booked and paid participants only.
Only guests who have booked and paid to participate are guaranteed a seat, table space, materials, tools, and access to the activity.
- Guests who have not booked and paid to participate are not entitled to seating.
- Guests who have not booked and paid to participate are not entitled to table space.
- Guests who have not booked and paid to participate are not entitled to materials, tools, pottery items, ceramic items, paints, clay, aprons, or activity participation.
- Additional seating is not automatically provided for parents, guardians, siblings, friends, photographers, helpers, drivers, or other accompanying guests.
- Crafted Clay reserves the right to limit the number of people inside the studio at any time.
Example: If a booking is made for 10 children, Crafted Clay will prepare seating, materials, and activity space for 10 participating children only. The booking does not include seating for 10, 15, or 20 additional parents or guests.
4. Non-Participating Guests
Non-participating guests are allowed only at Crafted Clay’s discretion and subject to available space.
- Non-participating guests are not guaranteed seating.
- Non-participating guests are not guaranteed table space.
- Non-participating guests may not interfere with the activity, staff, other guests, or studio operations.
- Non-participating guests may be asked to wait outside the activity area, move to another available area, or leave the premises if space is limited or if their presence affects the experience of other patrons.
- Additional adults, siblings, friends, or guests who wish to sit and participate must book and pay as participants.
For children’s bookings, Crafted Clay recommends that only the necessary supervising adults attend unless additional arrangements have been approved in advance.
5. Additional Table Policy
An additional table may be requested for snacks, cakes, party packs, gifts, or similar items.
Additional tables are subject to availability and must be approved by Crafted Clay in advance.
Payment for an additional table does not mean that the customer receives exclusive use of the studio or any allocated private area.
Payment for an additional table does not include:
- Exclusive use of the studio
- Exclusive use of a specific section or area
- Additional seating for non-participating guests
- Permission to set up a full party venue
- Permission to bring unlimited guests
- Permission to bring excessive décor, furniture, props, or catering equipment
- Early setup time
- Extended session time
- Late pack-down time
- Dedicated staff
- Additional materials, tools, paints, clay, or ceramic items
The additional table is intended only as a practical surface for limited snacks, cake, party packs, gifts, or small personal items. It is not a private party area.
Crafted Clay may decline additional table requests where space is unavailable or where the setup would interfere with studio operations, staff movement, safety, or the experience of other guests.
6. Exclusive Use of the Studio
Standard bookings do not include exclusive use of the studio.
No customer may assume exclusive use of the studio unless this has been requested, quoted, approved, confirmed in writing, and paid for separately.
- Exclusive studio use must be requested in advance.
- Exclusive studio use is subject to availability.
- Exclusive studio use must be quoted separately.
- Exclusive studio use must be confirmed in writing by Crafted Clay.
- Exclusive studio use must be paid for in addition to any participant fees, materials, products, or activity charges.
Exclusive use may depend on the date, time, group size, staff requirements, setup requirements, activity type, operational needs, and public booking demand.
Crafted Clay reserves the right to amend exclusive-use pricing, availability, requirements, and conditions at any time without prior notice.
7. Decorations, Party Setups & External Items
Crafted Clay is a working pottery and ceramics studio. It is not automatically a full-service party venue unless a private event arrangement has been requested, quoted, confirmed, and paid for.
Small, tasteful setups may be allowed if arranged in advance. Customers may not take over the studio with excessive decorations, furniture, signage, balloons, backdrops, props, entertainment, catering equipment, or party installations.
The following require prior written approval:
- Balloons
- Banners
- Table décor
- Cakes and cake stands
- Backdrops
- Themed props
- Party packs
- External catering
- Photographers
- Videographers
- Influencer or content creation setups
- Corporate branding
- Any large or disruptive setup
The following are not allowed unless specifically approved:
- Confetti
- Glitter
- Smoke machines
- Loud speakers or amplified music
- Live entertainment
- Open flames, except birthday candles under appropriate supervision
- Large balloon arches
- Floor-standing backdrops
- Large props or installations
- Décor that blocks walkways, shelves, exits, tables, staff areas, or other guests
Crafted Clay reserves the right to refuse, reduce, move, or remove any setup that was not approved in advance or that affects studio operations, safety, staff, other patrons, or the intended studio experience.
All décor, personal items, packaging, food items, props, and party materials must be removed immediately after the booking.
8. Food, Snacks & Drinks
Light snacks, cakes, and party packs may be permitted for group bookings where this has been arranged in advance.
- Food and drinks must remain in the approved area.
- Food and drinks may not interfere with clay, paints, glazes, tools, pottery items, ceramic items, studio shelves, or other guests’ work.
- Food and drinks may not be placed on activity tables unless approved by staff.
- Customers are responsible for cleaning up personal food items, packaging, decorations, party packs, and waste.
- Crafted Clay may charge an additional cleaning fee where a group leaves excessive mess or requires additional staff cleaning beyond normal studio use.
Crafted Clay reserves the right to limit or refuse food, drinks, catering items, or setups that are unsuitable for the studio environment.
9. Session Times, Arrival, Setup & Pack-Down
All group bookings are subject to the booked session time.
- Guests must arrive on time.
- Late arrival does not guarantee an extension of the session.
- Setup, cake cutting, photos, gift opening, speeches, eating, and pack-down must take place within the allocated booking time unless otherwise agreed in writing.
- Groups may not arrive early to set up unless early setup has been approved in writing.
- Groups must vacate their tables and studio area promptly at the end of the booked session.
- Crafted Clay must be able to prepare the studio for following sessions, other patrons, staff operations, or closing procedures.
Any setup or celebration activity must fit within the booked session time unless additional time has been approved and paid for in advance.
Where a group delays the next session, disrupts operations, exceeds the allocated time, or requires additional staff support, additional charges may apply.
10. Conduct & Respect for Other Patrons
All guests must behave respectfully toward staff, instructors, other patrons, studio property, and the creative environment.
- Groups may not dominate the space.
- Groups may not play loud music.
- Groups may not overcrowd tables.
- Groups may not block walkways, shelves, exits, or staff areas.
- Groups may not disturb other guests.
- Groups may not create an environment that prevents regular patrons from enjoying their session.
- Guests may not touch other patrons’ work, tools, materials, or personal belongings.
Running, shouting, climbing on furniture, entering restricted areas, handling unassigned materials, moving studio furniture without approval, or interfering with studio shelves is not permitted.
Crafted Clay reserves the right to intervene where behaviour becomes disruptive, unsafe, disrespectful, or inappropriate. In serious cases, the group may be asked to end the session early without refund.
11. Children’s Parties & Supervision
For children’s bookings, the booking holder remains responsible for the behaviour, safety, and supervision of all children and accompanying guests.
- Crafted Clay staff are present to facilitate the creative activity.
- Crafted Clay staff are not responsible for general childcare.
- Crafted Clay staff are not responsible for babysitting, feeding, toileting, crowd control, discipline, or managing parents and siblings.
- Children must be supervised by the responsible adults in the group at all times.
- Children may not run, climb, shout excessively, touch other guests’ work, enter restricted areas, or misuse studio materials.
A reasonable number of supervising adults may attend, but seating and table space remain reserved for booked participants only.
Additional adults, siblings, or guests who wish to sit and participate must book and pay as participants.
12. Changes to Group Size
Final participant numbers must be confirmed before the booking date according to Crafted Clay’s booking process.
- If more participants arrive than were booked for, Crafted Clay will only accommodate them if space, materials, staff, and timing allow.
- Additional participants must be paid for before joining the session.
- If the studio cannot accommodate extra participants, they will not be permitted to join the activity.
- No additional seating will be provided for guests who were not included in the confirmed booking.
- Reducing the number of attendees may not entitle the customer to a refund, credit, or price adjustment unless agreed by Crafted Clay in writing.
The booking holder is responsible for making sure the number of attendees arriving matches the number confirmed with Crafted Clay.
13. Private Functions & Custom Events
Private functions, corporate events, team-building experiences, mobile events, and larger group bookings must be requested through Crafted Clay and quoted according to the specific needs of the event.
Custom event requirements may include:
- Private studio use
- Dedicated staff
- Offsite or mobile pottery services
- Custom workshop formats
- Special time slots
- Larger group logistics
- Additional setup time
- Additional pack-down time
- Refreshments or catering arrangements
- Branding or corporate requirements
- Additional materials or custom items
Any custom event arrangement must be confirmed in writing. Verbal discussions, assumptions, or informal messages do not override this policy unless confirmed by Crafted Clay in writing.
14. Photography, Videography & Content Creation
Guests may take photos and videos of their own group, provided this does not disrupt the session, delay studio operations, or capture other patrons without consent.
- Professional photographers require prior approval.
- Professional videographers require prior approval.
- Influencer or content creation setups require prior approval.
- Commercial shoots require prior approval.
- Brand shoots require prior approval.
- Photography setups may not block walkways, disturb other guests, delay staff, or interfere with sessions.
No customer may turn the studio into a private shoot location unless this has been booked, approved, and paid for separately.
15. Materials, Tools & Studio Property
Booked participants will receive the materials, tools, guidance, and items included in their selected experience.
- Guests may not help themselves to extra pottery items, clay, tools, paints, brushes, aprons, samples, stock, bisque items, or studio supplies without staff approval.
- Guests may not move furniture, studio equipment, shelves, pottery pieces, or other guests’ work without permission.
- Guests must treat studio property, furniture, tools, materials, and finished pieces with care.
- Any breakages, damage, missing items, excessive use of materials, or misuse of studio property may be charged to the booking holder.
16. Cleaning, Waste & Pack-Down
The booking holder is responsible for ensuring that all personal items, decorations, food, packaging, party packs, gifts, props, and waste are removed at the end of the session.
- Crafted Clay will handle normal studio cleaning related to the pottery or ceramics activity.
- Groups must remove their own party waste and personal items.
- Groups must leave the approved table or setup area in a reasonable condition.
- Crafted Clay may charge an additional cleaning fee if excessive cleaning is required.
Excessive mess may include, but is not limited to, food spills, sticky surfaces, confetti, glitter, stained furniture, leftover packaging, scattered decorations, damaged items, or party waste.
17. Safety & Access
Crafted Clay is a working studio environment. Guests must respect safety rules, staff instructions, and restricted areas.
- Walkways must remain clear.
- Exits must remain clear.
- Studio shelves must not be blocked.
- Staff areas must not be entered without permission.
- Restricted areas, including kiln or storage areas, may not be accessed by guests.
- No setup may create a safety hazard or restrict movement through the studio.
Crafted Clay may require customers to remove or adjust any item that creates a risk, obstruction, operational issue, or safety concern.
18. Right to Refuse, Adjust or Remove Setups
Crafted Clay reserves the right to refuse, reduce, move, remove, or stop any setup, activity, arrangement, or guest behaviour that:
- Was not approved in advance
- Takes up more space than booked
- Affects other guests
- Blocks access or walkways
- Creates safety concerns
- Interferes with studio operations
- Disrupts staff
- Damages the studio atmosphere
- Turns a standard booking into an unapproved private event
- Breaches this policy or Crafted Clay’s Terms and Conditions
Staff decisions on the day are final. If a setup or group behaviour is not suitable for the studio, Crafted Clay may intervene immediately.
19. Payments & Additional Charges
Additional charges may apply where a booking requires more space, time, staff, materials, cleaning, or operational support than originally booked.
Additional charges may include:
- Additional participant fees
- Additional table fee of R350 per table
- Exclusive studio use
- Extra setup time
- Extra pack-down time
- Extended session time
- Dedicated staff
- Cleaning fees
- Damage or breakages
- Unapproved use of space
- Additional materials or ceramic items
- Offsite or mobile event logistics
All additional charges must be settled before or on the day of the booking, unless otherwise agreed in writing by Crafted Clay.
20. Cancellations, Rescheduling & Event Changes
Group bookings, private functions, and custom events may be subject to stricter cancellation, rescheduling, and payment terms than standard individual bookings.
- Cancellation and rescheduling terms may vary depending on the booking type, group size, staff requirements, materials required, and whether the event is private, custom, mobile, or offsite.
- No-shows are non-refundable.
- Late arrival does not entitle the customer to a refund, discount, or extended session time.
- Changes to date, time, group size, setup requirements, or event format are subject to availability and Crafted Clay approval.
- Custom event deposits, where applicable, may be non-refundable.
Any event-specific cancellation, deposit, or rescheduling terms issued by Crafted Clay will apply in addition to this policy.
21. Policy Acceptance
By making a booking, attending a group session, arranging an event, or participating as part of a group at Crafted Clay, the customer confirms that they have read, understood, and accepted this Events & Group Bookings Policy.
The booking holder is responsible for communicating this policy to all guests, parents, guardians, participants, invitees, photographers, vendors, or other attendees included in the booking.
Failure to follow this policy may result in the group being refused additional setup space, denied seating for non-participants, charged additional fees, asked to reduce or remove a setup, asked to end the session early, or asked to leave without refund.

This Events & Group Bookings Policy forms part of Crafted Clay’s broader Terms & Conditions of Service.

Where an event quotation, written booking confirmation, or custom agreement includes additional event-specific terms, those terms will apply together with this policy and the general Terms & Conditions of Service.
